ES4780 - Archives Access and Use Procedure
Section: EDUCATIONAL SERVICES PROCEDURES
SubSection: LIBRARY SERVICES
Master List Section: Student Services
- Institutional Regulation
Current college faculty, staff, and students, as well as members of the general public, may request (via phone, email, or in-person) to visit the Des Moines Area Community College Archive during regular open hours of the DMACC Ankeny campus Library. Requests will be granted based on the availability of Archive/Library staff and documents. Some items in the Archive are digitally available via the DMACC repository (https://openspace.dmacc.edu/).
Copyright for DMACC administrative records, publications, and photographs are held by Des Moines Area Community College.
- Procedures
Upon visiting the Archive, the following procedures will be in place:
- Because archival materials are housed in closed stacks and are not available for browsing, researchers must request materials which needed for viewing. A Request Form must be filled out for each item requested to facilitate its retrieval and to establish responsibility for its use. No materials may be requested within sixty minutes of closing time. Although multiple items may be requested at one time, only one box or volume (or other unit) will be issued to a researcher at a time.
- All materials are non-circulating and must be used in the Archive area, and within site of staff.
- For security and preservation reasons, outer wear, umbrellas, purses, briefcases, and other items may not be permitted near Archive materials.
- Food, drink, and gum are not permitted while viewing archival materials.
- Pencils only are allowed for note-taking, to avoid accidental ink markings or spills on archival materials.
- Physical handling: materials should be carefully handled with clean, dry hands; cotton gloves (provided by the Archive) should be worn when handling photographs.
- Original Order: Archival materials should remain in the order in which the researcher received them so as to maintain the proper original order and document context for future users. Filing and labeling errors should be reported to staff.
- Requests for limited reproduction of material are available when such duplication can be done without injury to materials and when duplication does not violate donor agreements or copyright law. Please consult with staff.
