  1. Scope

    To describe who is eligible for building or room keys, authorization required, and how keys are issued.
     
  2. Institutional Regulations
    1. Control of keys and associated locks is basic to maintaining the security of college rooms, storage closets, and buildings.
    2. Keys will be provided as requested and approved by appropriate administrators within the Physical Plant.
    3. College policy strictly forbids duplication of any DMACC issued key by commercial key vendors. All such keys, when found, will be confiscated.
  3. Procedure
    1. Authorized college staff and administrators requiring keys to specific rooms or buildings may receive keys by filling out a Key Assignment Card (copy follows procedure) and receiving proper authorization signature for the specific room or building key requested.
      1. Room keys must be authorized by administrators at the Director level and above.
      2. Campus master keys may be authorized only by the Vice President, Business Services, and the Director, Physical Plant.
    2. After completion of the Key Assignment Card with proper authorization, present it to the Physical Plant Office, Building 12, who will prepare the authorized key.
      1. Prepared keys will be issued the day following the presentation of an authorized Key Assignment Card.
    3. All keys are coded and registered as to room, building, area, and person issued. Keys are not to be transferred or loaned to anyone. Transfers are to be made only by return to the locksmith and subsequent reissue by authorized Key Assignment Card.
    4. All part-time personnel must request approval and authorization of the issuance of a key from the department dean. Key Assignment Cards and issuance of keys may be handled through the appropriate dean’s office. However, part-time staff must have approved, upon termination, an exit checklist (copy attached) by the appropriate dean prior to receipt of their final payroll check.
    5. Remote Campus locations and attendance centers.
      1. The Campus Executive Dean will be responsible for lock and key procedures compatible with those used on the Ankeny Campus and appropriate to the security required for their campus.
