ES4950 - Recreation Facility Rental for Boone Campus

  1. Institutional Regulation

    The College shall provide guidelines for the rental of indoor recreational facilities to non-profit organizations, DMACC sponsored organizations or the general public, in accordance with DMACC regulations. DMACC Campus Recreation facilities may only be utilized for rentals in accordance with the following guidelines when not previously scheduled for Campus Recreation programs.
     
  2. Procedure

    BOONE CAMPUS
     
    1. Requests for use of the gymnasium will be made through the Athletic Director. The Boone Sports Fitness area will not be available to rent.
    2. Appointed staff will be responsible for approving or denying requests.
      1. A rental contract outlining all rules and rental policies will be completed and signed by both parties.
      2. A rental fee will be paid in accordance with the arrangements made. All contracted hours must be paid for, regardless of usage. Fee schedule is available upon request.
      3. Sanctioned DMACC activities will not be charged a rental fee, but will be required to sign a contract and pay applicable staffing fees when required.
      4. Academic classes and other DMACC sanctioned events held in the gymnasium during regular hours of operation that interfere with the student and employee usage of the facility is discouraged, and is subject to approval by the Athletic Director.
    3. The Athletic Director’s office will agree to:
      1. Provide any extra personnel deemed necessary at the current hourly wage for the position when the rental takes place outside the regular hours of operation. For rentals that occur during regular business hours, the rental party can provide their own event supervision and personnel.
      2. The rental party is responsible for the acquisition of any equipment required for the event (chairs, tables, other equipment, etc.) DMACC staff must be notified of plans and timelines of all equipment or materials that will be brought into the facility for the purpose of the rental. DMACC is not responsible for the set up or tear down required for the purpose of the event or for storing and maintaining equipment used for a rental.
    4. The group/individual renting the facility shall be responsible for:
      1. Proper care of the facility and equipment. Repair or replacement cost will be charged to group for damages to the facility or lost items.
      2. Providing the Recreation & Wellness office with proof of liability insurance with $1,000,000 worth of coverage. DMACC sanctioned-events are subject to verification of coverage.
      3. Following all other DMACC related policies and procedures including local fire marshal ordinances.
    5. The following specific regulations are to be maintained:
      1. Only non-marking soled shoes are permitted on the gym floor for recreational purposes (this includes high-heels, work or cowboy boots, etc.)
      2. There shall be no alcoholic liquors or beverages, or drugs brought into or consumed in the building or on college property.
      3. There shall be no food or beverage brought into the gym with the exception of water.
      4. There shall be no sitting or climbing on bleachers while they are in the folded position.
      5. The facility must be used only for the purpose that it was originally intended as set forth at the time of contract signing.
      6. All Children must be supervised by an adult 18-years of age or older at all times while in the facility.
    6. The group using the facility shall be liable for any and all loss, damage, or injury sustained by any person whoever by reason of the negligence of that group.
    7. The group using the facility shall indemnify and hold harmless the College from any and all loss, damage, or injury.
    8. The group using the facility shall be charged custodial fees determined by the hourly wage set forth by the building and grounds department for maintenance personnel if the Athletic office deems this necessary due to size of group and/or event. This will be determined per contract.
    9. DMACC cannot be held responsible for cancellations to rentals due to unforeseeable circumstances including but not limited to weather, school-closings or unscheduled, DMACC sponsored events that require the gym facilities. DMACC sponsored events superseded any private rental.
