ES4340 - Posting Bookstore Purchases to each Student’s Financial Aid Account

    1. Students who have or who would otherwise have upon disbursement of financial aid a credit balance on their student account for the applicable term will be provided the opportunity to purchase required textbooks at DMACC bookstores utilizing financial aid resources.
  2. Procedure
    1. The DMACC Financial Aid Department shall establish a student’s eligibility for financial aid. The determination of a credit balance or potential credit balance shall be made by the DMACC Student Accounts Department either at the time of aid authorization or disbursement.
    2. All prior institutional charges for the period of enrollment will be deducted prior to the determination of a credit balance available to be used at the DMACC bookstore. Students authorizing the payment of allowable prior charges will have their available credit balance reduced based on the addition of these charges.
    3. Credit balance amounts shall be communicated by the Student Accounts Department to the DMACC bookstore on at least a daily basis to facilitate the purchase of textbooks.
    4. Financial aid credit balances shall not be used to purchase course materials from an unaffiliated source.
    5. Allowable charges that may be made in the DMACC bookstore include expenses for required course materials (books, kits, tools, supplies, etc.). A student may also make a one-time (lifetime) purchase using a financial aid credit balance for a technology device including a PC, laptop, and/or tablet to be used in DMACC coursework. The purchase limit associated with the technology devices shall be set by the DMACC Financial Aid Director and the DMACC Bookstore Manager.
    6. Students may purchase books and supplies at the bookstore throughout the term and up to 10 days prior utilizing financial aid credit balances. Additional purchase periods will be made available for students registered in module coursework. In all cases, DMACC will allow Title IV eligible students to obtain or purchase books and supplies by the seventh day of a payment period if he or she will have a Title IV credit balance.
    7. If a student uses the method provided by the institution to obtain or purchase books and supplies under this procedure, the student is considered to have authorized the use of title IV, HEA funds and DMACC does not need to obtain a written authorization under paragraph (c)(1)(ii) of section 668.164(m)(4) and Sec. 668.165(b) of the Higher Education Act for this purpose.
    8. There is no requirement for DMACC to provide another method for the student to purchase required books and supplies if the student opts out by choosing to not purchase texts or supplies utilizing the voucher process outlined within this procedure.
    9. At the time of purchase, the student must show a valid, non-expired, photo ID. This many include the use of a DMACC ID containing a photo of the student.
    10. In no case may a third party (such as a parent) authorize or make a purchase in the bookstore utilizing student’s financial aid.
    11. The student will be provided a receipt of the bookstore purchase for his/her records.
    12. The bookstore purchases will be posted against the student’s account within one business day of the date of the purchase.
